Scope of the Problem

You receive the error message «Error 161 (Pervasive license expired)» opening Newton by Agency Systems.

Resolution

An error status 161 indicates your site has exceeded the maximum number of Pervasive licenses or your Pervasive license has expired.

Pervasive License User Count Exceeded

The error can result from too many users attempting to access Newton simultaneously. The maximum number of concurrent users is determined by the Pervasive key and version purchased by your office.

Pervasive SQL Licensing Structure

If you do not know your maximum Pervasive license count or version, please contact our support.

Number is the maximum number of concurrent users.
How to Release a Pervasive User Count Session

If the maximum number of users has been reached, exit Newton on one of the connected workstations. A different workstation should now be able to launch Newton without error.

If the error is not resolved or you believe the maximum number of users has not been met, exit Newton on all workstations and restart the pervasive database services to clear any invalid sessions.

Expired or Broken Pervasive License

A temporary server license is automatically applied for a new installation. If a new server has been recently installed, contact support for assistance applying the permanent key.

In the event of a hardware failure, the pervasive key may require repair before it can be reactivated. Please contact support for assistance.

If this error is only happening for some users, then there are more users trying to access PracticeWorks than the number of Pervasive licenses available.  If the number of computers that are currently in PracticeWorks are less than the number of Pervasive licenses you own, then you may need to clear a session manually that is locked open.

The session can be cleared manually following these steps:

  1. On the server, click Start > Programs > Pervasive
  2. Click the Pervasive version (e.g. Pervasive SQL 2000i)
  3. Click Utilities > Monitor
  4. On the Monitor, select MicroKernel > Active Users or MicroKernel > Active Sessions
  5. On the Active Users or Active Sessions screen, highlight the name of the user to remove
  6. Click Delete current user (if the same name appears repeatedly, delete all instances of it)
  7. Close the Monitor window
  8. Open PracticeWorks

If this error is happening on every workstation for every user, then there is something wrong with the Pervasive license on the server.  The license may be disabled or requires activation.

To repair a disabled license:

  1. Click Start
  2. Click Programs
  3. Click Pervasive
  4. Click Utilities
  5. Click License Administrator
  6. Right-Click on the disabled key and choose Repair
  7. Confirm the Repair
  8. After the repair says it is complete, the key should show as Active under the State column
  9. Close the License Administrator window
  10. Open PracticeWorks

To activate a Pervasive license on the server

  1. Click Start
  2. Click Programs
  3. Click Pervasive
  4. Click Utilities
  5. Click License Administrator
  6. Enter the activation key
  7. Click Activate
  8. Close the License Administrator window
  9. Open PracticeWorks

Our Customer at a major University reports he’s getting Status 161 «User Count Exceeded» when running more than three workstations in our application.  

We have verified User Count in License Admin on all workstations is set to 5.

Database is located on shared drive on a computer/server without worksgroup engine installed (so I’ve been told).

We have also had customer force Protocol on each workstation to NETBIOS eliminating TCPIP and IPXSPX to prohibit possible communications with a «server Engine»

Still no luck in running more than 3 workstations concurrently.

Here’s a thought — let me know your opinion on this….  If 5 user Workgroup Engine is installed on 7 workstations and w3dbsmgr.exe is loaded on startup with -srde switches and No database is being referenced, does the 161 error occur when more than 5 users have open datafiles in same folder or when more than 5 users have w3dbsmgr.exe running even though only a few have files open in the shared folder??

Any Ideas as to where to look ??

What is Pervasive Sql Error 161 error?

The Pervasive Sql Error 161 error is the Hexadecimal format of the error caused. This is common error code format used by windows and other windows compatible software and driver vendors.

This code is used by the vendor to identify the error caused. This Pervasive Sql Error 161 error code has a numeric error number and a technical description. In some cases the error may have more parameters in Pervasive Sql Error 161 format .This additional hexadecimal code are the address of the memory locations where the instruction(s) was loaded at the time of the error.

What causes Pervasive Sql Error 161 error?

    pervasive error code 161 pastel partner

    I have upgraded my server from a windows 8 machine to a windows 10 machine and the other machines are windows 7. All was great for about three weeks, and then all of a sudden started getting error code 161 — i have uninstalled and reinstalled, turned off anti-virus, windows defender, set the UAC settings. but still the error persists. Am using Pastel Partner 12. Has anyone else had this problem and were able to resolve it. Please.

    Are you running Pervasive PSQL V10 , and do everybody log in with their own pastel on there pc’s and the server the main registered pc . then you need Pervasive PSQL V10 Workgroup and run as service . is the 3 cylinders icon in the taskbar green ?

    Hi, yes they all have V10 running on them and the engines are all running fine. Its like the main machine which is a Windows 10 machine will not keep the licensing. I have to register the pastel first thing and then everything is fine….. but as soon as I restart the main machine and I don’t register there is only 1 license it loses the additional licenses

    Do you have one license with additional users registered for instance 5
    When you installed the pastel on the win 10 pc did you tick the block make available for everyone

    Hi yes I didn’t tick make available for everyone but I shared the folder for everyone after the install. It has been working perfectly fine for 3 weeks and then the Windows 10 machine did updates and this error has started since then. I noticed you said to install pervasive as a service I always install it as an application.

    «Do you have one license with additional users registered for instance 5 » — Yes we are registered for 5 users on our pastel and have used these since 2014 and now it is suddenly giving problems.

    Only suggestion I have uninstall every thing , make sure the register folder inside the Pastel/Custom folder is also deleted , maybe run a registry cleaner as well . Restart , Install pervasive first as a service , the workgroup pervasive

    Ok thank you I will try that. Please may I ask why to install as a Service and not an application. Do I need to uninstall and reinstall as a service on all the workstations

    I really dont know , I have installed and moved close to 100 Pastel and Payroll for clients , I think it has to to do with Win 10 security , as a service it has more rights and gets loaded faster in the system.

    On the workstations you have to register Pastel Again , and have your map network drive on every workstation

    From my past experience this was always relating to a problem with the licence manager. Go to Pervasive License Administrator in start menu and make sure all the pc’s and server only have 1 permanent 5 user licence on them.
